Backing up is the process of copying data for future use if the original data becomes lost, corrupted, or stolen. Additional copies of data are called backups.
How can I back up my data?
The primary backup and storage resource offered at ACG is Microsoft OneDrive. OneDrive is available to all ACG faculty, staff, and students and can be accessed from anywhere with an internet connection, using the Microsoft account provided by the organization.
Faculty and staff also have access to ACG network storage for departmental and work-related data. Network storage is available while connected to the ACG network.
Always make multiple copies on separate storage locations for all important data. For example, if you have an important file stored in OneDrive, also ensure that it is copied to another secure location such as network storage or an external hard drive.
OneDrive
OneDrive is the recommended cloud storage solution for the ACG community. Files stored in OneDrive are accessible from anywhere and can be synchronized across multiple devices. OneDrive also makes it easy to collaborate and securely share files with other users.
As with any cloud-based platform, upload and download speeds depend on internet connectivity. Large files may require additional time to transfer.
Important: Students have a total of 50GB of cloud storage available for use, while faculty have 200GB. Staff's standard capacity is 50GB, unless an upgraded license has been applied.
Network Storage
ACG network storage provides faculty and staff with centralized storage for institutional and departmental files. It is best suited for collaboration, shared departmental resources, and files that need to remain within the institutional network environment.
Network storage delivers the best performance when connected directly to the ACG network through a wired connection; otherwise, the “acgsecure” wireless network provides access, using the ACG network credentials. Off-campus access is also available through the ACG VPN.
Recovery of Network Storage Files
ACG network storage includes recovery capabilities in accordance with the institution’s designated data retention policies. Previous versions of files and deleted files may be recoverable for a limited period depending on the applicable retention schedule and backup availability.
Faculty and staff who need assistance recovering files or folders from network storage should submit a request through the ACG Helpdesk. The IT team will review the request and, where possible, restore the requested data from available backups.
Local Backups
Local backups, such as external hard drives, are one of the fastest ways to copy and restore data. However, they are susceptible to the same risks as the original device, including theft, hardware failure, or physical damage. Consider maintaining copies on multiple devices and storing one copy in a safe and secure location.
Maintaining a personal local copy of important data also ensures that files remain accessible when internet connectivity is unavailable.
Backing Up
We recommend backing up your data in all circumstances. If you are storing critical files on OneDrive or ACG network storage, maintain an additional backup copy as well, in a safe, secure location. Never keep important data in only one location.
