Accessing and Using a Shared Mailbox in Microsoft 365

Overview

The mailbox testshared@acg.edu has been converted to a shared mailbox.

You have been granted the following permissions:

• Full Access – read and manage all mailbox contents.
• Send As – send emails using the shared mailbox address.

How to Access the Shared Mailbox

• Outlook for Windows or Mac
• Outlook on the Web (Browser Access)
• Outlook Mobile App (iOS / Android)

Outlook for Windows or Mac

In most cases, the shared mailbox will automatically appear in your folder list on the left within 60 minutes.

If it does not appear automatically:

Outlook for Windows

1. Open Outlook
2. Go to File → Account Settings → Account Settings
3. Select your account and click Change
4. Click More Settings
5. Go to the Advanced tab
6. Click Add
7. Enter: testshared@acg.edu
8. Click OK, then restart Outlook

Outlook for Mac

1. Open Outlook
2. Go to Tools → Accounts
3. Select your account
4. Click Delegates and Sharing
5. Under Shared with Me, click the + button
6. Add: testshared@acg.edu

Outlook on the Web (Browser Access)

1. Sign in to Outlook on the web using your ACG account
2. In the left navigation pane, right-click on Folders
3. Select Add shared folder or mailbox
4. Enter: testshared@acg.edu
5. Click Add

The shared mailbox will appear in your folder list.

Outlook Mobile App (iOS / Android)

1. Open the Outlook mobile app
2. Tap your profile icon (top-left)
3. Tap Settings (gear icon)
4. Select Add Account
5. Tap Add a Shared Mailbox
6. Choose your primary account (myaccount@acg.edu)
7. Enter: testshared@acg.edu

How to Send Email as the Shared Mailbox

The first time you send an email from the shared mailbox, you must manually select the From address.

Steps:

1. Click New Email
2. Click the From button
   • If you don’t see it:
     • Go to the Options tab
     • Select Show From
3. Click the From dropdown
4. Select Other Email Address
5. Enter: testshared@acg.edu
6. Send the email

The shared address will now be saved and available for future use.
